Show Advancing Guide: Checklist for Tour Managers
"Advancing" is the process of confirming details weeks before the show. It is where you catch problems like "The stage is too small for our riser" or "The venue has no parking for a bus".
Timeline
**4 Weeks Out**: Send your Rider and Stage Plot. Ask for the venue's "Tech Specs".
**2 Weeks Out**: Email to confirm they received the rider. Verify support acts and line check times.
**48 Hours Out**: Send the FINAL rider (even if it didn't change). Confirm Load-In time and "Day of Show" contact number.
Key Questions to Ask
1. **Parking**: Where do we put the van/trailer? Is it safe?
2. **Load-In**: Is there a ramp, stairs, or an elevator? Do we need to carry gear through the crowd?
3. **Power**: Do you have 3-phase power for lighting? Do you have US power (110V) or just EU (230V)?
4. **Merch**: Is there a dedicated area? Does the house take a percentage (the "merch cut")?
The "Day of Show" Sheet
Compile all this into a single sheet for your band. Address, Wifi Password, Soundcheck Time, Doors Time, Dinner Time. Distribute this the night before. A well-advanced show is a boring day for the TM, which is exactly what you want.
